Room Reservations

SEAS Allston & Cambridge campuses are home to a variety of conference rooms, classrooms, and phone/breakout rooms.  Reservations can be made via RoomBook or by reaching out to the Service Center.  Details on room reservation rules, locations, and fees can be found below.

Academic Room Requests (Classes)

SEAS academic classes, sections, thesis defenses, qualifying exams, and weekly seminars (colloquia) space requests are scheduled by the SEAS Office of Academic Programs.  

To check availability and to request a space, SEAS faculty, staff and students can use the Harvard University RoomBook space scheduling system. 

The RoomBook scheduling system is not available at the start of each semester for a 4-week period.  

 

Non-Academic Room Requests

SEAS non-academic space requests are scheduled by the SEAS Service Center.

  • Harvard University requests other than by SEAS and FAS, must be sponsored by a SEAS faculty or senior administration member and will require an email from the sponsor to servicecenter@seas.harvard.edu stating the role and event.
  • All non-Harvard requests must be sponsored by a SEAS faculty or senior administration member and will require an email from the sponsor to servicecenter@seas.harvard.edu stating the role and event.
  • Room reservations are subject to change due to academic programming.
  • Fees apply for after-hour room use, non-SEAS/FAS room use, and event support staff.

Harvard University’s campus grounds and buildings support faculty, students, staff, other affiliates, and campus visitors in fulfilling the University’s teaching and research mission. Each year the University, its Schools, and affiliates host thousands of events, programs, and other activities to serve that mission and foster the vibrancy of our intellectual and residential community. Given the volume and complexity of the demand for campus resources and to foster the well-being of community members and preserve these resources for future generations, the University must codify the rules, practices, and policies that simultaneously protect and facilitate the use of the University's property.  All room reservations at SEAS are subject to Harvard's Campus Use Rules.

Express Room Reservations Available in Allston

The following breakout and phone rooms are eligible to be reserved by SEAS faculty, staff, and students for immediate use if space is available at the SEC in Allston:

  • Lower Level 2:  LL2.203, LL2.208
  • Lower Level 1:  LL1.209, LL1.210
  • 1st Floor:  1.103, 1.104, 1.105, 1.214, 1.215, 1.230, 1.310, 1.317, 1.318
  • 2nd Floor:  2.103, 2.104, 2.105, 2.114, 2.115, 2.127, 2.417, 2.418, 2.422
  • 3rd Floor:  3.215, 3.216, 3.332, 3.417, 3.419
  • 4th Floor:  4.406, 4.423, 4.424
  • 5th Floor:  5.423, 5.424
  • 6th Floor:  6.303, 6.304, 6.418, 6.419

Fees

After-hours room usage fee: 

  • Fees will be charged to all groups for after-hours room usage (includes SEAS and non-SEAS groups)
  • After-hour room use is Monday through Friday (5:00 pm - 7:00 am); Saturday and Sunday (all hours)

Room usage fee

  • Fees will be charged to non-SEAS/FAS groups
  • Applicable during business hours; Monday through Friday (7:00 am - 5:00 pm)

Event Support Fees

  • All fees are to be determined prior to event confirmation.  
  • Audio/Visual support fees will apply (4-hour minimum) 
  • Custodial support fees may apply (4-hour minimum)
  • Additional fees for security staff may apply. 
Room Reservations FAQs

Who may reserve a room in SEAS buildings?

SEAS faculty, staff, and students can reserve space.

Harvard University faculty, staff, and students, other than SEAS/FAS, can request space if sponsored by a SEAS Faculty member or SEAS senior administration member. Initiate these requests by email from the sponsor to servicecenter@seas.harvard.edu.  

Where do I find a description of the room, capacity, and technology?

How do I know if my room request is confirmed?

Room requests are typically confirmed within 48 hours. You will receive an email notification confirming the approval status. All confirmed reservations are subject to change. Academic room requests have priority over non-academic room requests.

Can I request a special furniture set-up?

Contact servicecenter@seas.harvard.edu to review any special furniture set-up requests.

Can I change the setup after a room is requested or confirmed?

If set-up information is changed or added please email servicecenter@seas.harvard.edu

Who do I contact with questions or help with the Audio Visual System?

Most rooms have posted instructions in the space with information on the A/V (Audio Visual) system.  Additional information is available by contacting avservices@seas.harvard.edu 

Can I serve alcohol at my event?

Please reference this document when planning events in which alcohol will be served. These guidelines are to ensure the safe and responsible serving of alcohol within the SEAS community. Kindly email events@seas.harvard.edu with any questions.

What else should I consider?

Add setup/breakdown time to the beginning and end of your reservation when food will serve, catering delivered, or a furniture setup is needed.  A half-hour is typically sufficient, larger programs may require additional time.

Not all rooms have the same features, verify that the room is suitable for your event needs.

Consider scheduling a room reservation to try the room and technology in advance of your important meeting, class, or event.
